Our cancellation policy is as follows:

  • Sedan:12 hours notice required; 100% penalty for late cancellations.
  • SUV:12 hours notice required; 100% penalty for late cancellations.
  • Mercedes Sprinter Vans:24 hours notice required; 100% penalty for late cancellations.
  • Luxury Sedan:24 hours notice required; 100% penalty for late cancellations.

  • $5 airport fee for IAD and DCA pickups

  • $20 charged in 15-minute increments after the first 45 minutes of complimentary wait time (airport only)

Wait Time Grace Periods:

  • 10 minutes for non-airport pickups
  • 30 minutes for domestic flights
  • 45 minutes for international flights

Holiday Surcharge:

  • 25% surcharge on New Year's Day, Martin Luther King Day, Memorial Day, July 4th, Juneteenth, Labor Day, Thanksgiving, and Christmas Day

Miscellaneous Fees:

  • Baby Seat Storage: $15.00

Snow Emergency Policy:

Gratuity is not included in the fare. While tipping is not mandatory, it is customary to tip your driver for excellent service. You can add a tip to your credit card payment when making the reservation.

Our drivers track flight through global flight tracking system. The driver contacts the passenger on the given cell number which was provided at the time of reservation. We request all customers to keep their cell phones turned on in order to establish the communication with the driver. BWI Shuttle Service driver will pick up from the decided Pick up Zone by the Second Curb side.

Luggage policy is based on the size of the vehicle. Customer will be liable to pay for Excess luggage.

Guests are able to cancel reservations within 24 hours without any penalty. Cancellations which take place with less than 12 hours until service was requested will be charged half of the service contract fee.

We are dedicated to provide excellent service to our customers. We encourage our customers to communicate with us and update any changes. However, if a customer fails to communicate and does not show up, then BWI shuttle service will charge the full amount.

There is an additional $10 charge for pick-ups and drop-offs from 11:00 pm to 5:00 am.

In case of a snowstorm in which State Emergency is declared, sub charges will be added maximum up to 35% to the regular fare.

Our drivers track flights through global flight tracking system and arrive to the airport accordingly. However, customer is responsible to inform us in case of flight cancellation. If passenger fails to inform us then BWI Shuttle Service is not liable to refund any charges.

Our policy regarding the transport of animals is designed to ensure adequate space for the kennel(s), your baggage, and the baggage of other passengers in our vehicles. All animals – excluding service animals – must be kenneled to board the vehicle. Kennel guidelines are as follows: Less than 25 pounds: Lap carrier permitted.More than 25 pounds.Per ADA requirements, the restrictions above do not affect service animals. Read more about accessible service. Travelers with pet allergies are advised that other passengers on your vehicle may be traveling with a pet or service animal.

Locating Your Chauffeur

If you cannot locate your chauffeur, please call (410)-904-5151 to avoid a late cancellation charge. Rates provided are all-inclusive estimates and may not include additional charges for parking, tolls, and airport fees, which are passed along as incurred. Debit and credit cards will be authorized for the estimated amount at the time of booking, holding the funds until released by your bank or financial institution. BWI Airport Shuttle cannot be responsible for items left in vehicles.

Cancellations

  • Sedans: 12 hours notice required in DC-VA-MD; 24 hours for other states.
  • SUVs: Same as Sedans.
  • Mercedes Sprinter van: 12 hours notice required. 50% non-refundable deposit. Full charge if canceled late.
  • Limousines and Minibuses: 72 hours notice. 50% non-refundable deposit. Full charge if canceled late.
  • Motor Coaches: 72 hours notice. 50% non-refundable deposit. Full charge if canceled late.

Cancellations must be made by phone or email and are valid only upon acknowledgment from BWI Airport Shuttle Service. No cancellations or changes are accepted after 10 PM via phone or email.

No-Show Policy

If the client does not show at the arranged location, a fee equal to fare, gratuity, and wait time will be charged. Call (410)-904-5151 if you can't find your chauffeur. Leaving without notice is considered a no-show and will be charged in full.

Accounting

All reservations are billed to clients’ credit cards or corporate accounts. We accept American Express, Discover, MasterCard, and Visa. Charges include:

  • 20% gratuity
  • 15% fuel charge
  • Administrative fee

Gratuity is based on the base fare, stop, wait time, and surcharges. Rates are subject to change and are billed in USD. Taxes apply as required.

Airports and Train Stations Arrival

  • Domestic Flights: Chauffeur meets at luggage carousel (where permitted).

Flight status is tracked. 30-minute grace period for domestic flights and 45-minute for international. After that, wait time is charged. Call (410)-904-5151 if you're unable to locate your chauffeur.

Waiting Time and Stops

  • Sedan: 10-minute grace period. After that, waiting is billed in 15-minute increments.
  • Train Stations: Waiting time begins at scheduled pickup time.
  • Stops during point-to-point: $20.00 per stop (max 10 minutes).
  • Hourly Services: Sedans billed in 30-minute increments (3-hour min in DC Metro). Non-sedans billed in full-hour increments.

Prom and Special Event Policies

  • No liquor or cigarettes allowed (even if of legal age).
  • Violation results in trip termination with full charge.
  • Non-refundable deposit required.
  • Renter responsible for damages or cleaning fees.

Safety and Conduct

  • No smoking in vehicles.
  • No illegal drugs in vehicles.
  • No alcohol in minibuses.
  • Passenger limits must be observed.
  • Chauffeurs may end trips due to misconduct without refund.
  • Standing through sunroof is illegal.
  • $250 maintenance fee for sickness in vehicle.
  • Min. $250 for cleaning or damage beyond normal wear and tear.

Exceptions

BWI Airport Shuttle Service is not liable for delays or interruptions due to:

  • Weather
  • Strikes or riots
  • Legal authority
  • Public enemies
  • Quarantines
  • Hazardous conditions
  • Accidents
  • Other uncontrollable events
